The Moderation Wiki is part of an informal organisation known as the Community Management Community (the CMC), run by Gareth Coles, resident in and under the jurisdiction of the Republic of Ireland. This privacy policy will explain how we use the personal data we collect from you when you use our website, community spaces, and services.

Data Collection & Management

The CMC collects data from you depending on which of our services you use, and how you use them.

Discord Server

We do not collect any personal data from you when you use our Discord server.

However, we do use several Discord bots and services, and these tools provide access to the data they collect in accordance with their privacy policies:

• PluralKit, an accessibility tool used by plural systems to interact authentically on Discord. Doesn't collect any data unless you register a system with it.
• Sentry's Discord integration, alerting us when Sentry detects problems in anything we run. Doesn't collect any data.
• Our bespoke Discord bots, written specifically for our community:
  • General Bot, handling a few general administration tasks and provides tag commands. Doesn't collect any data, besides the contents of any tags you create with it.
• Invites Bot, handling invite codes and applications to gain access to the private areas of the server. Collects your user ID when you generate invite codes or apply, as well as the answers you provide when you apply, and the notes you provide when you generate invite codes. Also records when you joined and when you were last seen, to help us figure out who's around and who should be given more invite codes.

If you don't consent to sharing your data with these bots and services as described, please feel free to leave our Discord server, which will automatically prevent them from collecting any more of your data. As Discord is the data controller for anything shared on Discord, please feel free to contact Discord yourself for direct data removal requests. You can also contact the developers of each bot or services listed above to request they remove any personal data they're keeping track of.

Moderation Wiki

When you use this wiki without logging in, we don't store any personal data about you. However, we do store some data in your browser:

• Local Storage: mwclientpreferences
  • Stores your display preferences, including colour scheme, text size, performance mode, width, and pure black mode.

You cannot create an account manually. This is by design — we'd rather hand out accounts manually to those who have contacted us and explained they wish to contribute, in part because we'd rather store the least amount of data we need.

If you log into an account, this wiki collects and keeps track of the following data:

• The IP address you have when you log in and browse the site, and whatever IP address you had whenever you create/edit a page/discussion/comment.
  • We keep track of this for security purposes — for example, if your account was compromised by someone in another country, we would be able to more easily target any consequential vandalism.
• The username and "real name" profile fields, provided by you, as well as your hashed and salted account password.
  • Your username will be displayed whenever the wiki attributes you for your contributions, unless you provide a "real name".
• The options you configure in your profile's settings and the preferences page.
  • This includes your browsing and editing preferences, as well as your two-factor token.
• Any content you provide when creating/editing pages/discussions/comments, including a revision history containing all changes you've made over time.
  • Aside from displaying your contributions, we use this to provide a public revision history for all pages, and we can use this to roll back any problematic changes.

We don't currently offer a self-service option to delete your wiki account. However, you would have been in contact with us to ask us to create it — so feel free to contact us again using the same method if you'd like us to delete it.

Data Storage & Security

We securely store your data on a server located within Hetzner's FSN1 datacentre park, in Falkenstein, Germany. We have signed a Data Processing Agreement with Hetzner, pursuant to Art. 28 of the GDPR.

Additionally, we use Cloudflare as our DNS provider, and to shield our services from many types of attack. We have signed a Data Processing Agreement with Cloudflare, pursuant to Art. 28 of the GDPR.

Direct access to this server is only possible for Hetzner employees (at our request), and direct access to files, applications, and data on this server is otherwise only possible for Gareth Coles, the person running the Community Management Community. All applications and databases are run in containerised environments, with isolated, private networking, and with web interfaces only exposed either via Cloudflare Access, or through a reverse proxy application known as Traefik.

Your Rights

The Community Management Community would like to make sure you're fully aware of all of your data protection rights. Everyone is entitled to the following:

• The right to access: You are entitled to request Rephasing for copies of your personal data. We may charge you a small fee for this service.
• The right to rectification: You are entitled to request that Rephasing correct any information you believe is inaccurate. You also have the right to request Rephasing to complete information you believe is incomplete.
• The right to erasure: You are entitled to request that Rephasing erase your personal data, under certain conditions.
• The right to restrict processing: You are entitled to request that Rephasing restrict the processing of your personal data, under certain conditions.
• The right to object to processing: You are entitled to object to Rephasing's processing of your personal data, under certain conditions.
• The right to data portability: You are entitled to request that Rephasing transfer the data that we have collected to another organisation, or directly to you, under certain conditions.

Cookies

Cookies are text files placed on your computer to collect standard Internet log information and visitor behaviour information. When you visit our websites, we may collect information from you automatically through cookies or similar technology.

There are several types of cookies. However, we only use these:

• Functional: The Community Management Community uses these cookies so that we recognise you on our website, and remember your previously selected preferences. These could include a login session identifier, and whether you prefer a light or dark colour scheme.

Managing Cookies

You can set your browser not to accept cookies, and the websites linked above tell you how to remove cookies from your browser. However, removing or disabling cookies on our websites may break some of their features.

Other Websites

The Moderation Wiki and other services run by the Community Management Community may contain links to other websites. Our privacy policy only applies to our services, so if you click/tap a link to another website, you should stay informed by reading their privacy policy.

Policy Changes

The Community Management Community updates this policy from time to time. When we do, we'll update this page and let you know via an announcement on our Discord server. If we've given you an account on this wiki, you can also follow this page.
